Job Summary:

We are looking for a meticulous and detail-oriented Order Entry Specialist to join our team. The successful candidate will be responsible for accurately entering and managing orders using NetSuite and HubSpot on a daily basis. Additionally, this role will provide data entry support to various teams, including Marketing, acting as a data librarian to ensure information is organized and accessible.

 

Key Responsibilities:

  • Verify order information for accuracy and completeness, resolving any discrepancies in a timely manner.
  • Maintain and update customer records, ensuring data integrity across all platforms.
  • Provide additional data entry support to various teams as needed, ensuring data is accurate and up-to-date.
  • Work closely with the Marketing team to manage and organize marketing data.
  • Generate and distribute order confirmation, invoices, and other necessary documents to customers.
  • Collaborate with the sales and customer service teams to resolve any order-related issues or inquiries.
  • Prepare and maintain various reports related to order entry and data management.
  • Assist in the development and implementation of data entry procedures and best practices.
  • Continuously seek ways to improve order entry processes and enhance overall efficiency.

 

Job Requirements:

  • High school diploma or equivalent; associate’s or bachelor’s degree in Business Administration or a related field is a plus.
  • Minimum of 2 years of experience in order entry or a similar data entry role.
  • Proficiency in using NetSuite and HubSpot is preferred but not required.
  • Strong attention to detail and high level of accuracy in data entry tasks.
  • Excellent organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Strong communication skills, both written and verbal.
  • Proficiency in MS Office Suite, particularly Excel.
  • Experience working with marketing data and acting in a data librarian capacity is a plus.
